VACUUM STATE LTD is the controller of the personal information described in this notice. This notice covers this website and privacy enquiries. The app is not yet available to download; what it does with information is set out in the app privacy policy.

Information from website visits

IONOS hosts this website. Delivering pages involves technical information such as your IP address, requested page or file, access time, browser, device and operating system, and the referring page where supplied.

IONOS states that its standard hosting visitor records are anonymised on collection and retained for eight weeks for security, stability and service quality. The hosting service also provides server-side visitor statistics. See IONOS’s hosting data information.

We do not add advertising cookies, tracking pixels or third-party analytics scripts to these pages. Fonts, images and video are served with the website. There is no signup form and we do not store contact details in your browser.

Privacy enquiries

If you contact us, we receive your email address, any name you provide, your message and any attachments. We use these to respond and handle your request. Providing this information is voluntary, but we may need enough detail to understand the request and verify your identity.

Our privacy email address is provided by IONOS and forwards to a Gmail inbox supplied by Google. Copies may be held in both services. Please include only information relevant to your enquiry. We do not use privacy enquiries for marketing or sell your personal information.

Why we use information

We rely on legitimate interests to operate and protect the website, answer general privacy questions and keep a proportionate record of related correspondence. We rely on legal obligations when handling statutory privacy requests. We limit the information used to what is needed for those purposes.

How long we keep information

Routine correspondence is kept for no more than three years after the enquiry is resolved or the last substantive contact about it, whichever is later. This allows us to respond to follow-up questions and retain context for complaints.

We review correspondence at least annually and delete routine closed cases more than two years old, so they are removed within the three-year limit. We may remove unnecessary information sooner. This includes copies we control in IONOS, Gmail, sent mail, attachments and deleted-items folders.

Where information is needed for an unresolved complaint, legal claim, investigation or specific legal obligation, we retain only the relevant records for as long as that reason applies and review the exception at least annually. A valid request for earlier deletion is considered when received.

IONOS’s standard hosting visitor records follow its stated eight-week retention period. Service providers may retain backup or security records under their own documented processes; deleting a message from our working inboxes does not immediately erase every provider backup.

Providers and international processing

IONOS provides hosting and email services, and Google provides the Gmail inbox used for correspondence. They process information needed to deliver and secure those services. Relevant information may also be disclosed where legally required or necessary for a legal claim.

Google processes information internationally, including in the United States. It describes its reliance on adequacy mechanisms, including the UK Extension to the EU–US Data Privacy Framework, and standard contractual clauses where required. Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction of use or a portable copy of your information. These rights have legal conditions and exceptions.

You can object to processing based on legitimate interests. Contact privacy@getmissionos.co.uk to exercise a right or raise a complaint. We respond within the applicable statutory time limits, normally one month, and explain any permitted extension.

Changes to this notice

We update this notice when the website or its data practices change and show the revised date above. The app has its own app privacy policy.
